GETTING STARTED
A practical AI adoption guide for small and mid-sized businesses
Most AI projects fail because the scope is too broad, not because the model is too weak. Start with one workflow and a measurable result.

Start with a workflow, not a tool
The useful question is not which model to buy. It is which repetitive workflow costs the most time or creates the most inconsistency. Customer follow-up, quotation preparation, content production and knowledge lookup are common starting points because the work is frequent, structured and easy to observe.
Choose a first project with four properties
- The task happens often enough to measure.
- The input and output are reasonably well defined.
- A person can review the result before it causes harm.
- Success can be judged in weeks, not quarters.
Prepare the data before the demo
AI systems are only as useful as the material they work from. Before building anything, collect the documents, product facts, templates and examples that a good employee would use. Remove outdated versions and decide who owns updates.
Design the human review point
A practical system keeps a person in the loop where money, compliance or brand reputation is involved. The review point should be explicit: who checks what, how often, and what happens when the output is wrong.
Measure the workflow, not the model
- Time from inquiry to first response.
- Hours spent producing a standard deliverable.
- Share of answers that needed correction.
- Cost per completed task, including review time.
Common mistakes
- Trying to automate an entire department in one project.
- Buying a model before defining the workflow.
- Ignoring the document maintenance process.
- Treating a successful demo as a production system.
A realistic first step
Pick one workflow, one team and one month of real examples. Build a small system, test it against those examples, and compare the result with the current process. If the improvement is clear, expand the scope. If not, the cost of learning stays small.
