KNOWLEDGE BASE
How to build an enterprise AI knowledge base that people trust
A knowledge base is not a folder of documents connected to a model. Trust comes from clean sources, visible citations and a maintained update process.

Trust starts with the source
If two documents disagree, the system cannot produce a reliable answer. The first task is editorial: identify the authoritative version of each policy, product fact and procedure, and retire the rest.
Structure before embedding
Documents should be split along meaningful boundaries: a section, a procedure, a product specification. Chunks that mix several topics retrieve poorly and produce vague answers. Metadata such as department, product, version and effective date makes filtering possible.
Citations are a product feature
Every answer should show the passage it came from. Citations let users check the answer, and they make errors visible. A system that cannot show its source is difficult to trust in daily operations.
Permissions must be designed early
Retrieval should respect who is asking. Department, role and document-level access rules need to be part of the index design, not added after launch.
Evaluate with real questions
Collect questions people actually ask, including ambiguous and adversarial ones. Review answers for correctness, completeness and source quality. Track the cases that fail and fix the content or retrieval logic behind them.
Operate it like a product
- Assign an owner for each content area.
- Set an update and re-index schedule.
- Review unanswered questions every month.
- Keep a visible change log for high-stakes documents.
What good looks like
A useful knowledge base gives a short answer, a source, and a clear path to a person when confidence is low. It does not pretend to know everything. That honesty is what makes it usable.

Frequently asked questions
- What is this article about?
- How to build an enterprise knowledge base: where the material comes from, how to chunk and retrieve it, how to connect it to AI dialogue, and why attempts usually fail.
- Which service does it map to?
- The enterprise knowledge base service — see /services/knowledge-base/.
- Can we do this without an engineering team?
- Yes. Your team owns material cleanup and permissions; we build the retrieval chain and the system and maintain it after launch.
